These documents explain how Kalispell Speech & Debate handles information and the terms that apply when using its speech and debate tournament judge-coordination services.

Privacy Policy

Who this policy covers

This policy applies when you visit this website, sign up to judge a tournament, administer a school or tournament account, request support, or purchase a service through the site. A school, district, or tournament organization may also provide information needed to operate its events.

Information we collect

  • Judge information: name, email address, phone number, experience and preferences, and communication choices
  • Administrator information: name, email address, and phone number
  • Billing information: plan and add-on options. Payment details are entered through Stripe and are not stored by this application.
  • Technical information: essential session and security cookies, verification status, request and error logs, and information used to protect accounts and diagnose service problems.

How we use information

We use information to operate judge signup, prevent conflicting or overfilled round selections, provide tournament and account administration, send verification and transactional messages, honor communication preferences, process billing, provide support, maintain activity records, prevent misuse, and improve service reliability.

When information is shared

Judge information and selections are available to authorized administrators for the applicable school, domain, or tournament. We also use service providers only as needed to operate the service, including:

  • Resend for application email delivery.
  • Stripe for hosted payment processing.
  • Twilio services when optional phone-number or SMS-capability validation is used.
  • Hosting, database, backup, security, and monitoring providers used to operate and protect the application.

We may also disclose information when required by law, to protect users or the service, or as part of a business transfer subject to appropriate safeguards. We do not sell personal information or use it for third-party targeted advertising.

Your choices

Judges may opt out of nonessential tournament messages and may later opt back in. Transactional messages needed to verify an account, confirm a signup, communicate service status, or complete a requested action may still be sent. You may ask to review or correct your information, or request deletion where retention is not required for tournament records, security, billing, or legal obligations.

Cookies and session storage

The site uses essential cookies and session storage for login, verification, security, and continuity while completing forms. These technologies are necessary for the requested service. The application does not use them for third-party behavioral advertising.

Retention and security

Information is retained for as long as reasonably needed to provide tournament services, preserve records available under the selected plan, meet billing or legal requirements, resolve disputes, and protect the service. We use administrative, technical, and operational safeguards appropriate to the nature of the information. No online service can guarantee absolute security.

Schools and tournament organizations

Organizations using the service are responsible for having appropriate authority to submit information and for limiting administrator access to people who need it. The service is designed for tournament coordination and should not be used to submit unnecessary sensitive information.

Changes to this policy

We may update this policy as the service or applicable requirements change. The effective date at the top of this page identifies the current version.

Terms of Service

Acceptance of these terms

By accessing or using Kalispell Speech & Debate, creating an administrator account, registering as a judge, or purchasing a service, you agree to these Terms of Service. If you use the service for a school, district, tournament, or other organization, you represent that you have authority to act for that organization.

The service

Kalispell Speech & Debate provides tools for tournament setup, judge registration, round availability and assignments, communications, reporting, and related speech and debate coordination. It is not a tournament tabulation service, emergency-notification system, or guarantee that a tournament will obtain a particular number of judges.

Accounts and authorized access

You must provide accurate information, protect account credentials and verification codes, and promptly report suspected unauthorized access. Administrators are responsible for assigning appropriate view or edit permissions and removing access that is no longer needed. You may not use another person’s account or attempt to bypass account, plan, payment, or security restrictions.

Organization and administrator responsibilities

Organizations and their administrators are responsible for tournament details, schedules, round requirements, notifications, uploaded files, administrator assignments, and communications they send or export. They must have appropriate authority to collect and use participant information, follow applicable school and organizational policies, honor communication preferences, and review tournament readiness before publishing judge signup.

Judge responsibilities

Judges are responsible for providing accurate contact and availability information, reviewing their selections and confirmations, disclosing relevant conflicts, and contacting the tournament coordinator when circumstances change. A signup or confirmation does not create an employment relationship with Bigfork Webworks or guarantee a particular assignment.

Acceptable use

You may not use the service to break the law; harass, deceive, or harm others; send spam or unauthorized bulk messages; upload malicious, infringing, or inappropriate material; probe or disrupt the service; scrape personal information; introduce malware; impersonate another person; or access information outside your authorized school, domain, or tournament.

Customer content

You retain responsibility for information, text, schedules, and files submitted through your account. You grant Bigfork Webworks a limited right to host, copy, process, transmit, and display that content only as reasonably necessary to provide, secure, support, and improve the service. You represent that you have the rights and permissions needed to submit the content.

Plans, fees, and payment

Plan features, service periods, administrator limits, add-ons, and prices are described on the pricing and billing pages or in a written custom agreement. Taxes may apply. Payments are processed through Stripe. Unless a written agreement or applicable law provides otherwise, fees are nonrefundable after the applicable service or paid access has been activated.

Single Tournament service generally requires payment before judge signup is enabled unless a super administrator grants an override. For other plans or approved charges, unpaid balances may result in restricted or disabled judge-signup service after the displayed payment period. Removing a plan does not itself issue a Stripe refund or cancel a Stripe object.

Availability and changes

We work to keep the service available but do not promise uninterrupted or error-free operation. Maintenance, hosting failures, internet conditions, third-party services, security events, or circumstances beyond reasonable control may affect availability. Features may be corrected, improved, replaced, or discontinued. We will use reasonable efforts to avoid materially reducing paid service during its active term without notice or an appropriate alternative.

Third-party services

The service relies on third parties such as hosting, email, payment, telecommunications, backup, and monitoring providers. Their services may be governed by separate terms and privacy policies. We are not responsible for third-party systems outside our reasonable control.

Suspension and termination

We may limit or suspend access when reasonably necessary to address nonpayment, security risk, unlawful activity, misuse, material violation of these terms, or harm to users or the service. When practical, we will provide notice and an opportunity to correct the issue. You may stop using the service at any time, but outstanding payment and record-retention obligations may continue.

Disclaimers

To the extent permitted by law, the service is provided “as is” and “as available.” Bigfork Webworks disclaims implied warranties of merchantability, fitness for a particular purpose, and noninfringement. Tournament administrators remain responsible for final schedules, staffing decisions, safety procedures, and communications through official organizational channels.

Limitation of liability

To the extent permitted by law, Bigfork Webworks will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, lost profits, lost data, or loss of goodwill arising from the service. Bigfork Webworks’ aggregate liability for a claim relating to the service will not exceed the amount paid for the affected service during the twelve months before the event giving rise to the claim. Some jurisdictions do not allow certain limitations, so these limitations apply only to the extent permitted.

Applicable terms and law

A separate signed agreement controls if it directly conflicts with these online terms. If any provision is unenforceable, the remaining provisions continue in effect. These terms are governed by the laws applicable in Montana, without regard to conflict-of-law principles, except where applicable law requires otherwise.

Changes to these terms

We may update these terms as the service or legal requirements change. Material changes will apply prospectively, and the effective date at the top of this page identifies the current version. Continued use after revised terms become effective constitutes acceptance where permitted by law.
